Privacy policy
Last updated 28 September 2026
This policy explains what personal data Tribuna ("Tribuna", "we") collects through the TRIBUNA.ONE website, Tribuna workspaces and the Tribuna desktop app, why we collect it, and your rights.
1. Who is responsible
For the website and for sales enquiries, Tribuna is the data controller. For content that customers upload to their workspace (speaker names, presentations, schedules), the customer is the controller and Tribuna processes it on their behalf under our data processing agreement.
2. What we collect
| Source | Data | Purpose | Legal basis |
|---|---|---|---|
| Contact and demo form | Name, work email, company, event type, message | Reply to your request, arrange a demo or trial | Consent / pre-contract steps |
| Workspace signup | Organisation name, workspace address, owner name and email, password (stored as a salted hash) | Create and run your workspace | Contract |
| Workspace use | Users, roles, sessions, uploaded files, activity log | Provide the service, security and audit trail | Contract (as processor) |
| Desktop app licence checks | Licence key, app version, a machine identifier | Validate licences and seat limits | Contract |
| Server logs | IP address, browser, pages requested, time | Security, abuse prevention, troubleshooting | Legitimate interest |
Contact-form IP addresses are stored only as a one-way hash. In offline mode, the desktop app sends no data to us at all.
3. Cookies and analytics
The website uses only the cookies it needs to work (session and security tokens). If analytics are turned on, we use a privacy-friendly service that sets no cookies and collects no personal data.
4. Sharing
We don't sell personal data. We share it only with service providers that help us run Tribuna (hosting, email delivery and, for paid plans, payment processing). They are bound by contract to protect it, and we only share it where the law requires.
5. Retention
We keep sales enquiries for up to 24 months after our last contact. We keep workspace data for as long as the subscription is active, and delete it within 90 days after cancellation unless you ask for an export first. We keep server logs for up to 90 days.
6. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict or export your personal data, and to object to processing. To make a request, email privacy@tribuna.one. If your data is in a customer's workspace, we'll pass your request on to that customer. You may also complain to your local data protection authority.
7. Security
We protect data with encryption in transit, access control and separate workspaces. See our security page.
8. Changes
We'll post any changes on this page and update the date above. If a change is significant, we'll notify workspace owners by email.
